We are currently recruiting a Personal Assistant with a 'can do' attitude to provide comprehensive support to the Partner Team by proactively overseeing their workload and completing tasks as required, alongside the provision of administration and support.
Tasks & Responsibilities
- Proactively manage the diary and schedule of the Managing Partner(s).
- Assist in the overall administration of the Partner’s office, i.e. provide administrative support in managing priorities and workflows involving the Partner, coordinating and monitoring multiple and diverse activities and work processes to ensure that Partner’s decisions are properly conveyed and carried out;
- Take responsibility for planning the Partner’s agenda with appropriate consultation; effectively prioritise and resolve related conflicts and competing demands; coordinate the attendance to the meetings of the Partner;
- Serve as first point of contact and liaison with the wider Practice; communicate on behalf of the Partner and keep Staff/Departments informed by conveying status updates and other relevant information; bring sensitive and urgent matters to the attention of the Partner; follow-up on commitments made and ensure timely collection and submission of documents to the Partner (e.g. briefing notes, meeting documentation, Client information, administrative files etc.);
- Deal with incoming emails and letters (including registration of correspondence, routing to relevant staff, tracking of replies); draft written correspondence on behalf of the Partner; screen phone calls, enquiries and requests, and handle them as appropriate;
- Organise and attend internal meetings, and draft minutes and action points; ensure the Partner is well prepared and has all relevant documentation for such meetings;
- Organise external meetings on behalf of the Partner, handling all necessary arrangements (e.g. room reservations, meeting agendas, invitations, catering, background documentation, technical equipment etc.;
- Handle a wide range of administrative duties/processes (e.g. timesheets, travel arrangements, expenses etc).
Essential Criteria:
- Work experience of at least 3 years in a fast-paced Accountancy Practice or Professional Services environment in a similar role.
- Experience of dealing with highly sensitive information and maintaining confidentiality.
- Experience of diary management, travel bookings, minute taking.
- Experience in document management and control
- Familiar with GDPR regulations
- Experience in all aspects of office management
- Experience of managing a wide range of responsibility with constantly evolving priorities.
- Excellent IT Skills and fully competent in Microsoft Packages, Word, Excel, PowerPoint.
Desirable Criteria:
- IATI Qualified or working towards an equivalent qualification.
